MEETING MINUTES
NJRO PA NJROTC Parents Club Meeting September 15, 2009 This meeting served a dual purpose. This was the welcome aboard meeting for the new cadets and parents, and also was the first parent’s meeting of the new school year. All of the 2009-2010 board members were in attendance for this meeting. The meeting opened with the Honor Guard presenting the colors and then the Star Spangled Banner was played. After this, Captain Giordano gave some opening remarks about the program. After he was finished Chief Smith went over a number of different things regarding the day to day operation of the unit. He introduced the C.O. and X.O. and spoke about some of the mandatory functions that the cadets will be required to attend this year. The NJROTC parent’s club president spoke a few words about what our function is relative to the running of the program. He introduced the parent’s club board and then turned the meeting back over to Chief Smith, who answered various questions from the new parents. At this point the welcome aboard section of the meeting was concluded and the parent’s club meeting began; We discussed various upcoming events for the unit. It was emphasized to everyone present that physicals needed to be completed and paperwork turned in no later than October 1st, 2009. During this time we talked about the various meet opportunities for the unit, and explained the need for parental chaperones, as well as parental support, for the cadets when they are competing. We also discussed the need for food to be supplied for various events and that parents would be contacted as we approached each of the events; We spoke briefly about the various fundraisers that have been placed on the schedule for the school year with more details to follow; We discussed at great length a few of the bigger events on the calendar for this year: Homecoming, Cavalier Meet and Military Ball. During this time sign-up sheets were passed around in order to get some early volunteers for the various events. The board made it a point to go around and greet each of the parents who decided to stay for the meeting. At that point the meeting was adjourned. Princess Anne NJROTC Parents Club Meeting This meeting was conducted by Vice President Mike Morgan because Ron Dixon (and his wife) were out of town; The meeting began at 1901 hours with the acceptance of the minutes from the September meeting; The next item of interest was a discussion about securing the Westin for the military ball. The parent’s club authorized the treasurer to write a check for $1000.00 to the Westin as a down payment; Cherie Morgan gave the treasurer’s report. As of the October meeting date we had $3343.37; The blood drive was scheduled for October 27th. Cherie and Tracy Williams were to be the chaperones for the event. We were hoping for 75 donations; At the Norview meet Executive Officer Gardner received the high score for academics; Homecoming was scheduled for October 30th. This was a mandatory event for the cadets, who would be required to participate until the halftime festivities were concluded. Chief Smith reminded everyone that he needed parents to secure an area in the stands, usually next to the band, for the cadets to sit. We decided that arriving at about 1730 hours. would be a good idea. We also discussed the fact that many of the cadets would be staying for stadium cleanup and parents were reminded that the cadets that stay would need to bring a change of clothes; The Gianni’s pizza fundraiser was discussed. Orders needed to be in by November 6th with the projected delivery date of November 17th; The next board meeting is scheduled for November 2nd; There was a discussion about the The Applebee’s fundraiser and the Salem NSI meet are both scheduled for December 12th. We will figure out a way to make both of these events work; Next mandatory event is the AMI, the annual inspection that takes place on December 9th. Parents are needed to help out with this event. They need to be at the school by 0700; Mike Morgan talked about the various benefits of the Facebook account; Chief Smith discussed the need for parents to bring water, gloves and blankets to some of the upcoming meets. He reminded everyone of the mandatory events (homecoming, AMI, and change of command). He also told the parents that the other events, such as the Veteran’s Day Parade, were essentially extra credit grades and an easy way to get an A; November 12-13 is the scheduled physical fitness test. Make sure that everyone feeds their cadets properly, and vitamins would be a good idea too, especially given the impact of the swine flu; Captain Giordano spoke about the change of command in April. He also said that the 1st inspection in the winter uniform would be done in the next week or so; Mike reminded parents that if their cadet participates in any of the meets they will be receiving a call asking them to bring some food for the day of the event. They were also reminded that the cadets would need some money to purchase lunch while they were there; Mike reminded everyone that the Food Lion card fund raiser was still ongoing; Meeting was adjourned at 1948 hours. led to order at 7 03pm Princess Anne NJROTC Parents Club Meeting 11-17-09 All board members were present. Treasurer’s report: after Gianni’s sale we had $2960.37; Old Business The blood drive was a big success. 83 people donated blood. The goal was 75; We made a profit of $1075.00 with the Gianni’s fundraiser; The deposit was made to the Westin for the military ball. The tickets for the ball will be $28.00 each. New Business The out of town meet will be on November 20-21. We are in need of two female chaperones. Ms. Gallagher and Ms. Morgan agreed to handle this. The group will be leaving from the school at 0720 and not everyone is going. The group was set to return about 2100 on Saturday evening. Captain Giordano told everyone in attendance that a specific set of criteria was used to determine who would be making the trip to compete; Norview meet is scheduled for 12-05-09; AMI is set for 12-09-09. We will be providing lunch. Chief Smith made a special request for the parents to attend, because it helps the cadets and because we get points for it. The event will start about 0800 and should be completed by 1030 hours. Check e-mail and the web page for any changes in the schedule; NS1 meet is set for 12-12-09. Participants will muster at 0530; Applebees breakfast with Santa has been moved from 12-12-09 to 12-19-09. Start time remains 0730, and it should last about 3 hours; Survey was sent out regarding the holiday dinner, scheduled for 12-17-09. The cost will be $5 per person. The dinner will start at 1830 and will consist of chicken and fixings. Strawbridge Photography will be there. They will offer an 8X10 photo for only $10. Motion was made and carried to spend $600 on the dinner; Barnes and Noble gift wrapping fundraiser will be help 12-19 and 12-22, 1400-2200 both days. Need adults to sign up for this. Patty noted that cadets wearing their uniforms works wonders for increasing donations; Chief Smith He said he is in need of two female chaperones for the Nottoway NS1 meet to be held on 01-09-10; Varsity drill meet is set for 01-16-10 at Green Run; Green Run Athletic Meet and Special Olympics take place on 01-30-10. We need chaperones for both; Cavalier Meet is on 02-06-10; Captain Giordano He spoke about the decision to go with one price for the tickets. He asked for the flyer to get finished and distributed ASAP to the other schools; Captain asked about a spread sheet for the amount of money the cadets have earned in the incentive program. At that point a question was asked about how the cadets earn money. Patty explained the program in depth, including the remaining events before the military ball, which are Barnes and Noble, Applebees and possibly Chic-Filet; The captain thanked everyone for the fund-raising efforts and put in an additional request for chaperones. He also asked for the paperwork for their cadets done in a timely manner; Finally, there was a discussion regarding inclement weather/notification policy. This centered around the canceled Veteran’s Day parade. Chief everyone to use parental common sense when deciding if they should venture out in the bad weather and he asked that everyone please err on the side of safety for the cadets and themselves. Meeting adjourned at 2003. Treasurers report; $4,078.82 Balance of which the last deposit was $1,294.50

Old Business:
Area 5 was a success, Princess Anne was 3rd in academics and 7th overall. Three schools went to Nationals, Green Run, 1st Colonial, and Norview High Schools
There was a parent concern expressed over the food and drinks that are needed to be available for the cadets, communication and planning in this area needs to be improved upon.
Car Wash 3/28 resulted in $420.00 profit,,,, car wash from 4/4 profit was $294.50, Farm Fresh, received$272.00 monies were for CHKD
Applebee s fundraiser profit was $550.00 after paying applebee s $118. The guests were impressed with the Cadets service and behavior . However; it was felt more organization was needed for the next applebees fundraiser in December

New Business:
Patty Dixon and Tyra Fitch removed names from nomination for President, Ron Dixon, removed name from Vice President slot, Cheryl Gallagher and Cindy Gardner, removed their names respectively from the Secretarial position; Ballots were then passed out and collected after voting. Chief and Captain were to tabulate results.
It was noted that the Master At Arms is not a voting member of the Board
Brittany Dixon spoke to the parents club, and thanked them for their support during the year.
April 23--Ship Cruise leaving at 1030 am and returning around 430pm, Tracy Willams and Mike Morgan will be chaperones. There will be a need to feed cadets for this trip and a motion was made to pay $200.00 for lunches .
April 25-- Car Wash at the Shell Station 9-3p,,, with an 830 muster for cadets
April 30--Change of Command in Large gym at 230pm,,, we are asking for donations of finger foods to be served in small gym after ceremony. Flyers to be sent out to parents.
May 5- Board Meeting
May 13--Blood Drive,,,,, Tracy and Sherie volunteered to help out,, Reminder , Students will need ID and permission forms to participate
May 16--Family Picnic at Bayville Farms , shelter #2 Cadets are to bring dish and drinks, alphabet to be split between sides and desserts. Food will be served around noon.
May 19--Parent Club Meeting, which will be split with the new board .
May 20--Welcom Aboard for incoming parents and freshman students from 630-730pm
May 29--Awards Banquet-- 630-9pm survey for expected guests was passed out and need to be returned by May1, distinguished guests may be between 12-16 people. Choice of cheese or meat lasagna will be served along with salad rolls and beverage. For $5.00 per person unless under the age of 3. Cadets will wear uniforms.
May 30--Car Wash at Farm Fresh which will be the last one of the year. We do need parents to help.
Parent Club Scholarship- which will be 2 this year, $700 each, , one of which is donated from Ron Dixons Business. There is also a Caton Center scholarship which is being offered . Both scholarship are judged independently from the unit.
June 6--Fun Day at Kings Dominion from 530am-?? There were several options discussed , and Chief and Captain decided on Kings Dominion. There will be two buses provided for transportation, Flyers will be sent out . The Parent Club and the Unit will contribute to the cost of the trip, thereby leaving the cadets with a minimal amount.
Chief did request that the student fund amounts be made available ASAP, so students may plan their needs.
Web Site Renewal--Patty Dixon paid for this last year, and it was decided that the Parent Club will keep the Web site going and will incur the cost. It was noted ,if the minutes were available to be printed off the site it will be an increased charge.

Chief and Captain appreciate all the help they have received from the parent with all the cadet activities.
Captain has received one draft from R Horner regarding the emblem for the Caton Center, Patty will be meeting with Captain and Chief ..Hopefully to take 4 weeks to complete
Chief would like to do end of the year photo book and will be getting with Mike Fritz for Awards Banquet
